KENNETT'S HELPERS CUSTOMER PRIVACY NOTICE

How we use and protect your personal information

Data controller: Kennett's Helpers (sole trader)

Email: [email protected]

1. Information we may collect Depending on the service, we may collect your name, address, phone/email, booking and service details, access/key information, invoices/payment records, communications, cleaning preferences, property/site instructions, pet information needed for dog walking/pet care, and incident/complaint information. We may also hold photographs/video where you have given appropriate permission or where reasonably needed to document an incident.

2. Why we use your information & our lawful bases We use information to respond to enquiries, provide quotations, arrange and deliver booked services, communicate about bookings, keep business/accounting records, manage payments, protect clients/property and deal with complaints, incidents or legal claims. Depending on the purpose, our lawful basis may be performance of a contract or steps requested before a contract, compliance with a legal obligation, our legitimate interests in safely and effectively operating and protecting the business, or consent where we specifically ask for it (for example optional marketing photography/video).

3. Information needed to provide the service Some information is necessary for us to quote, book or safely provide a service. If required information is not provided, we may be unable to offer or complete the relevant service. Optional information or consent will be identified as such.

4. Who we may share information with We only share information where reasonably necessary. This may include a self-employed professional completing your Kennett's Helpers assignment, our insurers or professional advisers, payment/accounting or IT/service providers, and public authorities where disclosure is legally required. Professionals completing assignments should only receive the information they reasonably need for that work.

5. Keeping information secure We take reasonable steps to protect customer records and access information. We aim to limit access to people who need the information for a legitimate business purpose and to avoid unnecessary copying or sharing of keys, access codes and personal details.

6. How long we keep information We keep information only for as long as reasonably necessary for the purpose it was collected, including providing services, maintaining accounting/tax records, resolving disputes and meeting legal or insurance requirements. Different records may therefore have different retention periods. We will securely delete or dispose of information when it is no longer required.

7. Photographs, video & social media Marketing photography or filming inside a client's property is optional and handled through Kennett's Helpers' separate Client Property - Photo & Video Permission process. Where we rely on consent, you can withdraw that consent for future use. We aim not to include people, children, addresses, keys/access details, paperwork or other clearly identifying information unless separately appropriate and agreed.

8. Your data-protection rights Depending on the circumstances and lawful basis, you may have rights to ask for access to your personal information, correction of inaccurate information, deletion, restriction of processing, data portability, or to object to certain processing. These rights are not absolute in every situation. You can contact Kennett's Helpers using the email above to make a request.

9. Your right to object Where we rely on legitimate interests, you have the right to object to processing in certain circumstances. Tell us what processing you object to and why, and we will consider your request in accordance with data-protection law.

10. Withdrawing consent Where we rely on your consent, you may withdraw it at any time by contacting Kennett's Helpers. Withdrawal does not make earlier lawful use of your information unlawful.

11. Information obtained from someone else Usually we obtain information directly from you. If a landlord, letting agent, business contact or another authorised person provides information needed for a booking, we may receive relevant contact, property/site or service information from them and will provide privacy information as required.

12. International transfers & automated decisions Kennett's Helpers does not currently intend to make solely automated decisions about customers that have legal or similarly significant effects. Some technology/service providers may process information outside the UK; where this occurs, Kennett's Helpers will use providers and safeguards appropriate to applicable data-protection requirements.

13. Complaints If you have a concern about how Kennett's Helpers uses your personal information, please contact us first so we can try to resolve it. You also have the right to complain to the Information Commissioner's Office (ICO), the UK data-protection regulator.

14. Updates We will review this notice as the business and our data-processing activities develop. Where a material change affects how we use your information, we will take reasonable steps to bring the updated information to your attention.
